When you provide Lady VA with personal information, it may be sent electronically outside of your country you originally entered the information. . Booking & Confirmation
- A booking request is not a guaranteed reservation. Please wait for a confirmation email or phone call from Lady VA.

Confidentiality & Data Protection
- Lady VA prioritizes data security and complies with UK Data Protection Laws (including GDPR).
- We only work with UK-based clients due to insurance regulations.
- Your information is securely stored and backed up. We are ICO registered, and any concerns can be emailed to [email protected]
- All original work will be returned upon completion unless otherwise requested.
- Upon contract termination, we delete all client data except for our tax records.
- Lady VA never shares, sells, rents, or otherwise distributes your information.

Payments
- Minimum charge is one hour. After that, work is billed in 15-minute increments.
- New clients may be required to pay a 50% deposit before work starts.
- For contract cancellation/termination, the client agrees to pay for all completed work.
- Lady VA reserves the right to halt services and withhold work for unpaid invoices.
- Overdue invoices may incur a 5% monthly interest charge on the total outstanding amount.
- Advertising costs will be charged to the client as an expense with a pre-agreed budget.
- Payments are accepted via bank transfer. Alternative payment methods might incur extra charges, which will be reflected on your invoice. Please discuss this during your initial consultation.
- Project work will be invoiced upon completion, with payment due within 7 days.
- Invoices are sent on the 1st and 15th of each month. If you join outside these dates, your invoice will reflect the prorated period.
- Payment deposit is required immediately. Remaining invoice will be due within 7 days of the invoice date.
- Retainer hours cannot be carried over to the following month.
- Any additional costs (postage, courier, phone charges) will be itemised on your invoice or invoiced separately as “Expenses.”
Submitting Work & Turnaround
- Submit work via email hello@ladyva.co.uk.
- We will confirm your request and schedule the work. The confirmation email will include the turnaround time.
- Work exceeding one hour will be scheduled with an estimated turnaround time provided upon job receipt.
- When submitting databases or marketing materials, your virtual assistant will inquire about data collection methods and request validation proof to comply with GDPR.
- Please review returned work promptly and raise any concerns immediately.
- Holidays: You will be notified by email if Lady VA takes time off. Any scheduled work will be completed before the holiday. We will also announce holiday hours on our social media channels for UK standard holidays (Bank Holidays, Easter & Christmas).
Disclaimer & Applicable Law
This contract is governed by the Law of England & Wales.
We are not liable for any losses arising directly or indirectly from our work, except for those caused by our negligence.
